Reservations Report Explained

The Reservations Report contains all the data relating to the Reservations in your account, for a specified time period.

This report can be accessed by choosing Reports > Reservations.

Please note: The Reservations Report does not contain data on Sales or Payments. This is contained in the Sales Report and the Payments Report.

Set your filter criteria:

FieldDescription
ScopeSelect either the Daily, Weekly, Monthly, Quarterly or Yearly option. Or select the Custom option to filter specific dates
EmployeeNone: No specific Employee selected, so data for all Employees is includedSelect an Employee to included data for that Employee only
Show Deleted EmployeesNo: No data for deleted Employees is includedYes: Data for deleted Employees is included
Reservation StatusActive: This is preset and includes Reservation data for active (not cancelled or deleted) Reservations Cancelled: Includes Reservation data for only cancelled Reservations

The top of the report displays some featured figures (explained below):

  • Total Reservations
  • Customers
  • New Customers

The Graph section shows your Reservation totals plotted on a graph for the reporting period.

The figures listed are:

  1. Total Reservations: The number of Reservations made. This figure includes no-shows and Reservations without Sales attached to them. It does not include cancelled or deleted Reservations.
  2. Total Services: The number of Services included with the Reservations.
  3. Customers: The number of Customers for whom Reservations have been made.
  4. New Customers: The number of new Customers for whom Reservations have been made.
  5. Total Revenue: The total of all the Reservation prices.
  6. Total Discounts (Vouchers): The sum of all Vouchers applied to Reservations.

Click View reservations to view a list of all Reservations within the reporting period.

Click View unpaid reservations to view a list of all Reservations, within the reporting period,  which do not have Sales attached to them, or which have Unpaid Sales attached to them. 

You can then 'View' the Reservation and it's 'History'.

The sections below show a breakdown of data for specific items.

The data in each section can be exported to a CSV file by clicking the Export to CSVbutton at the top right reservations-report-explained

Hovering over the pie graph reveals the statistics per segment:

Results can be ordered by clicking on column headings:

The Statuses section shows a count of how many Reservations have the following statuses attached; Checked In, No Show, Customer Confirmed and any custom status types.

The Servicessection is a breakdown of all Services.

The Services by Employee section is a breakdown of all Services performed by each Employee.

The Services by Category section is a breakdown of all Services within each Service Category.

The Vouchers section is a breakdown of all Vouchers applied to Services And the total amount of the discounts

To print the Reservations Report, click Print on the right-hand side of the screen.

The Reservations Report contains all the data relating to the Reservations in your account, for a specified time period.

Please note: The Reservations Report does not contain data on Sales or Payments. This is contained in the Sales Report and the Payments Report.

This report can be accessed from the Menu by tapping onReporting

then tap Reservations

The Reservations Report can be filtered by a pre-set time period, as well as by employee

To Filter by time period, tap directly on today's date displayed at the top of the screen. You can use the < > arrows to jump to the days before or after today's date

OR

tap the Calendar icon in the top-right corner for a different date

Then tap on the drop down arrow and select from either Daily, Weekly, Monthly, Quarterly or Yearly to view Reservations data for that time period

reservations-report-explained The Reservations report in the web app also allows you to select a custom time frame

To filter by Employee, tap Employee in the Filters section, which displays your Employee List

Tap on the relevant Employee name to view Reservations data for that Employee:

The data displayed in the Reservations Report is explained below:

SUMMARY

reservations-report-explained The Summary Section displays:

  1. Total Reservations: The number of Reservations made. This figure includes no-shows and Reservations without Sales attached to them. It does not include cancelled or deleted Reservations.
  2. Total Services: The number of Services included with the Reservations.
  3. Customers: The number of Customers for whom Reservations have been made.
  4. *New Customers:*The number of new Customers for whom Reservations have been made.
  5. Total Revenue: The total of all the Reservation prices.
  6. Total Discounts (Vouchers): The sum of all Vouchers applied to Reservations.

reservations-report-explained Tap View reservations to view to a full list of Reservations (for the reporting period) via the Web app version of your account

Tap View unpaid reservations to view a list of all unpaid Reservations (for the reporting period) via the Web app version of your account

STATUSES

reservations-report-explained The Statuses section displays the number of:

  1. Checked-in Reservations (see How do I check a Customer in?)
  2. Customer-confirmed appointments (bookings which were made online and required manual confirmation)
  3. Reservations tagged as No-shows (see How do I tag a Reservation as a no-show?)
  4. Reservations tagged with each Status Type previously added to your account (see What is a Status Type?How do I add a Status Type to a Reservation?)

SERVICES

reservations-report-explained The Services section displays the number of Services within the Reservations for the reporting period, along with the Net Value of each

Tap on any Serviceand then on Reservations to see all the Reservations for that service during the reporting period

SERVICES BY EMPLOYEE

reservations-report-explained The Services by Employee section displays the number of Services carried out by each of your Employees for the reporting period, along with the Net value of each

Tap on any Employeeand then on Reservations to see all the Reservations for that service during the reporting period

SERVICES BY CATEGORY

reservations-report-explained The Services by Category section displays the number of Services within each Service Category carried out during the reporting period, along with the Net value of each

Tap on any Categoryand then on Reservations to see all the Reservations for that service during the reporting period
